Doing IT field work in Belgium: what to know
Belgium is small, but it is not simple. Three language communities, regional rules and a dense mix of EU institutions and logistics hubs all affect field work.
Languages and time zone
Belgium has three official languages: Dutch, French and German. Flanders works in Dutch, Wallonia in French, and Brussels is officially bilingual. Match the engineer’s language to the region, and say on the ticket which language the site contact prefers. Belgium runs on Central European Time, one hour ahead of the UK.
Regional differences go beyond language. Procurement teams in Flanders and Wallonia may ask for paperwork in their own language, and public-sector sites in Brussels often have fixed visiting hours. Ask each site for its access hours, and keep a local contact on every ticket. For out-of-hours changes, confirm in writing who will open the building and who will sign off the job.
Public holidays and substitute days
Belgium has ten public holidays. The Federal Public Service Employment explains that when a holiday falls on a Sunday or a usual non-working day, employers must set a substitute day. Each employer picks its own substitute day, so two Belgian sites can close on different dates for the same holiday. Ask each site for its calendar before you count business days.
Data protection
Belgium applies the EU General Data Protection Regulation (GDPR) alongside its national data protection law. The regulator is the Belgian Data Protection Authority. Many sites in Brussels belong to public bodies, international organisations or regulated firms, so expect formal rules on data-bearing media, visitor logs and photography. Agree them at onboarding and attach them to every work order.
Site access and security
Institutional and data centre sites in Brussels often need security clearance requests days in advance, with ID checked on arrival and escorts inside. Colocation facilities usually ask for named visitors and booked slots. Share these steps at onboarding so they are part of the plan, not a surprise on the first call-out.
Parts and logistics
Belgium is in the EU customs union, so parts cleared into the EU can move on to Belgian sites without further customs formalities. Parts sent directly from Great Britain still need export and import declarations, as GOV.UK guidance on exporting goods from the UK sets out. With the port of Antwerp and good road links, holding spares in Belgium or a neighbouring EU country is a practical way to keep fix times short.
How it works
The model plugs into your existing ticketing and service desk:
- Scope: you share your sites in Belgium, the equipment and the service level you need.
- Coverage plan: we confirm which locations we cover and propose the right service tier for each.
- Onboarding: we join your vendor panel and agree the process for raising and closing jobs.
- Dispatch: you log a job; we send a vetted engineer to site.
- Close-out: the engineer completes the work and reports back with notes and evidence.
